Operations & Administrative Coordinator
Part-Time ยท 20-25 hrs/week Reports to Lead Pastor Growth Potential

Position Summary

The Operations & Administrative Coordinator provides dependable operational and administrative leadership that helps Christ Center function smoothly, efficiently, and proactively. The role supports the Lead Pastor and staff by coordinating office systems, facilities, vendors, financial processes, and organizational workflows.

Key Responsibilities

Office Management & Administrative Support

  • Serve as a primary point of coordination for office and administrative needs.
  • Manage office supplies, printers, phones, mail, and general office systems.
  • Maintain accurate, organized digital and physical filing systems.
  • Provide administrative support to the Lead Pastor, including calendar coordination, communication, and scheduling.
  • Provide agreed-upon administrative support to staff and ministry teams.
  • Prepare documents, reports, meeting notes, and other administrative materials.
  • Assist with Planning Center updates and database administration as needed.

Facilities & Building Coordination

  • Serve as the primary coordinator for building and facility-related needs.
  • Respond to alarms, maintenance needs, and facility concerns in a timely manner.
  • Coordinate vendors and service providers, including HVAC, janitorial, landscaping, security, and related services.
  • Obtain quotes, coordinate service schedules, and maintain vendor records.
  • Track facility projects, preventive maintenance, and service logs.
  • Research and maintain documentation related to easements, permits, inspections, and compliance requirements.
  • Coordinate building-use scheduling and support event setup needs in partnership with staff.

Financial & Payroll Support

  • Provide oversight and coordination for the team responsible for offering counting, recording, and deposits.
  • Track invoices, reimbursements, and supporting documentation.
  • Process vendor payments and checks as authorized.
  • Assist with budget tracking and expense documentation.
  • Maintain a high standard of confidentiality, accuracy, and internal accountability in all financial responsibilities.

Systems, Processes & Communication

  • Develop and maintain checklists, workflows, and standard operating procedures for recurring functions.
  • Support implementation of operational priorities within the church's strategic plan.
  • Maintain current contact lists, calendars, shared resources, and internal communication systems.
  • Support onboarding processes for new staff in coordination with ministry leadership.
  • Identify, develop, and empower others to share responsibility and expand the effectiveness of the role.

Sunday & Ministry Support

  • Help ensure the building is prepared, accessible, and ready for Sunday ministry.
  • Support hospitality and facility readiness in coordination with staff and volunteer teams.
  • Troubleshoot routine operational or facility issues as needed.

Qualifications

Experience

  • Administrative, office management, or operations experience required.
  • Church or nonprofit experience preferred.
  • Vendor management or facilities coordination experience is a plus.

Core Skills

  • Highly organized, detail-oriented, and able to manage multiple priorities and interruptions.
  • Clear and professional written and verbal communication.
  • Strong, proactive problem-solving skills.
  • Demonstrated discretion and ability to maintain confidentiality.
  • Comfortable with Microsoft Office, Google Workspace, and Planning Center or similar systems.
  • Relational, calm, and service-minded.

Position Details

Time Commitment Part-time, 20-25 hours per week. The scope of the role may grow as the church grows.
Reports To Lead Pastor
Works Closely With Church staff, ministry leaders, volunteers, and vendors
Future Trajectory May develop into an Operations Manager role or provide operational support within a future Executive Pastor structure.
